The National Institute of Advanced Industrial Science and Technology (hereinafter referred to as “the institute”) has established and is operating the world’s largest computational infrastructure for artificial intelligence processing (hereinafter referred to as “ABCI”). In order to ensure ABCI Users (hereinafter referred to as “Users”) can use ABCI with confidence, we have established the following policy for the appropriate protection and management of Users’ personal information.

1 Compliance with relevant laws, regulations, guidelines, etc.

The Institute shall comply with the Personal Information Protection Law (hereinafter referred to as “the Law”), other related laws and regulations, and the “Personal Information Protection Guidelines”, the Act on the Protection of Personal Information (hereinafter referred to as the “Act”), other related laws and regulations, the “Guidelines Concerning the Act on the Protection of Personal Information (General Rules)” and other guidelines established by the government (hereinafter collectively referred to as “Laws”).

2 Acquisition and Use of Personal Information

The Institute will acquire personal information by legal and appropriate means and use it appropriately.

3 Purpose of Use of Personal Information Obtained

The Institute will use the personal information of ABCI Users obtained through ABCI-related websites, inquiry e-mails regarding ABCI, and other methods within the scope of the following purposes. However, the Institute will not use the personal information contained in the Users’ data stored in the ABCI without the Users’ explicit consent in accordance with the ABCI Agreement or the ABCI Rules.

  1. Approval of User registration applications, etc.
  2. Confirmation of the current status of the Users
  3. Management of ABCI usage status
  4. Management of ABCI accounts
  5. Support for ABCI usage
  6. Billing, collection, and management of ABCI usage fees
  7. Management of ABCI usage contracts
  8. Matters necessary for compliance with laws and regulations related to security export control
  9. Matters related to the publication of ABCI utilization facts or results by Users
  10. Other matters necessary for the operation and management of the ABCI

4 Provision to contractors

The Institute may entrust the handling of various types of personal information to third parties to the extent necessary to achieve the purposes set forth in “3. Purpose of Use of Personal Information Obtained”. In such cases, the Institute will take appropriate security control measures through the outsourcing agreement or other means.

5 Safety Management Measures

The Institute shall take necessary and appropriate security control measures to prevent leakage, loss or damage of personal data handled by the Institute. In addition, the Institute shall exercise necessary and appropriate supervision over employees who handle personal data.
The security control measures for personal data are separately stipulated in the Personal Information Handling Regulations and other internal regulations established by the Institute.

6 Matters Concerning Provision of Personal Information to Third Parties

The Institute will not provide any personal information to any third party without obtaining the prior consent of the Users, except as permitted by law or as stipulated in this Personal Information Handling Policy.

7 Matters concerning Pseudonymized Personal Information

The Institute may create and use pseudonymized information on individuals obtained by processing personal information so that specific individuals cannot be identified unless the information is cross-checked with other information, in accordance with laws, regulations on handling personal information established by the Institute, and other internal regulations. The Institute may prepare and use pseudonymized information in accordance with laws, regulations, personal information handling rules established by the Institute and other internal rules.

8 Matters Concerning Anonymously Processed Information

  1. The Institute may create and use anonymized processed information (information on individuals obtained by processing personal information so that specific individuals cannot be identified by taking measures prescribed by laws and regulations, and such personal information cannot be restored) from acquired personal information in accordance with laws and regulations.
  2. When the the Institute provides Anonymous Processed Information (excluding Anonymous Processed Information of Administrative Organs, etc.) to a third party, the Institute shall publicly announce the items of information concerning individuals included in the anonymized processed information to be provided and the method of provision, and clearly indicate that the information to be provided is anonymized processed information.

9.1 Use of Log Information

When Users and others access ABCI-related websites, information such as the location (country, region, city) associated with the IP address sent to the Institute from the visitor’s browser, browser name, OS type, device type (desktop, mobile, tablet, etc.) and access time, and referring website address is recorded as an access log. The Institute may also collect information about the pages viewed and other actions taken by Users when they access the websites related with ABCI. These methods allow the institute to obtain statistics on the use and effectiveness of the website, to tailor the content of its website to Users, to filter its e-mail messages so that the institute does not send Users information that Users do not need, and to provide Users with easy-to-use instructions.

9.2 Acquisition and Use of Non-Personally Identifiable Information and Activity History

Plausible Analytics is used to track the usage of the ABCI-related websites. The Institute uses the information obtained by Plausible Analytics to understand how Users and others visit the ABCI-related websites. Click here for more information on the data Plausible Analytics obtains.

10 Matters Concerning Revisions

The Institute may revise this Privacy Policy in response to changes in the purposes of use, improvements in security, or revisions to related laws and regulations. Users are advised to periodically check the ABCI website for such revisions.
